My team and I created a 12-month supervision tracking workbook built in Microsoft Excel, aligned with BACB supervision requirements for Registered Behavior Technicians (RBTs).
Basically, what this will do is it will help you log and calculate monthly supervision hours across:
- Group Supervision
- Client Observations
- Individual Meetings
It also includes automatic formulas to calculate total supervision hours per RBT, eliminating manual math.

What’s Inside?
Excel (.xlsx) • Opens in a new tab
What’s Inside the File
- 12 monthly sheets (Jan–Dec)
- Each sheet tracks up to 6 RBTs
- Sections:
- Group Supervision
- Client Observation
- Individual Supervision Meeting
- Rows for:
- Date
- Duration (in hours)
- Auto-calculated Total Hours
- Manual input for Monthly Hours Needed
How to Use the Supervision Tracker?
1. RBT Columns (RBT 1 – RBT 6)
Each of the RBT has their own column, and You can rename the headers like “RBT 1” to their real names (e.g., “Sarah,” “Alex”).
Or a group of clients such as Morning Shift, Evening, etc. Just get creative, is all I am saying.
2. Fill in Supervision Data
Now, under each section, you will find (group, observation, individual):
- Enter the date of the session
- Enter the duration in decimal hours (e.g., 1.5 for 1 hour 30 mins)
You can also add:
- Up to 3 sessions per section (or insert more rows if needed)
3. Total Hours Row (Auto-Calculated)
- The row labeled “Total Hours” (Row 16) sums all durations for each RBT.
- It includes durations from all 3 sections.
- No formulas are needed — I have it built in.
For example:
excelCopyEdit=SUM(B5:B7, B9:B11, B13:B15)
This means that add all durations from each section for RBT 1 (Column B).
4. Monthly Hours Needed
Next, you need to manually enter the required hours based on how many hours the RBT worked that month.
BACB Rule:
- RBTs must receive supervision for at least 5% of total hours worked
- e.g., If an RBT worked 80 hours, enter 4 in “Monthly hours needed”
Here’s a calculator to help you go faster.
